The Workflows tab displays all containers that are in the publishing workflow. Publishers may view details of all containers in the publishing workflow but may only publish containers that they have publishing rights to. Containers in the publishing workflow may have either one of the following statuses:
Click on the container name to display publishing options for that container as below:
The details of the container are displayed on this page. Below the container details is a list of users who will be notified by email of any publishing workflow notifications.
This tab allows you to compare the changes that have been made to the content of the container. It compares content that is currently live with the content in the workflow. This page is divided into three views:
Visual Changes
Merges the new content with the current live content and displays it rendered (i.e. how you'd see it on the front-end of your site). Any changes are colour-coded as follows:
Code Changes
Merges the new content with the current live content and displays the HTML code. Any changes are colour-coded as follows:
The History tab shows an audit trail of the publishing workflow history of the container. Each time an action occurs on the container, such as an editor checking it out, saving changes, committing changes to workflow, or being published, a record is added to the history.
As ShadoCMS creates Workflow Groups by default, the Workflow Items are listed as above. Once a Publisher is happy with the content in a container, it can be published by clicking on the Publish button under the Publishing tab.
A publisher may at any time decline a container that is in the workflow. When declining a container the publisher has two options:
Decline & Reset
This will decline any changes and reset the container to a published state, essentially discarding the latest changes made to the container.
Mark for Re-edit
When a container is Marked for Re-edit the changed content is kept but the container becomes checked out to the editor that edited the container. This allows the editor to go back into the container and modify the content again. Once the editor commits the container to the workflow after re-editing the content, the entire workflow process starts again (i.e. all workflow items need to be approved before it can be published).
When selection any of the two options above the publisher may give a decline reason which will be sent to the editor by email.
Depending on the workflow status of the container, you may either Recall or Edit a container from the Edit tab of a container.
Recalling a Container
After a container has been committed to the publishing workflow its workflow status is set to Ready for Publishing. A container that is in the workflow may be recalled by either the publisher or the editor provided its workflow status is Ready for Publishing. A container cannot be recalled while it is Being Published. Recalling the container will remove it from the publishing workflow and check it out to you (the person who recalled it), allowing you to do any necessary edits.
Editing a Container
While publishing a container, the publisher may send the container back to the editor for re-editing. This will give the container a workflow status of Ready for Re-editing. Containers with a workflow status of Ready for Re-editing will have an Edit tab that displays the declining details (the publisher who declined the container, the editor, the date the container was marked for re-edit and the declining message). To navigate quickly to the container on the front-end of the site click on the 'Edit' button below the Decline message.
