Publishers Guide

Overview

As a Publisher you will have been allocated permissions to add, edit and delete sections, pages and containers within the sections that you have been given rights to.

By default, any content modified by an Editor or Advanced Editor must be approved via the Workflow system by a Publisher before the content will go live on the site. Publishing content is carried out by logging into ShadoCMS Central.

Workflow

The workflow process for publishing content in ShadoCMS is made up of Workflow Groups and Workflow Items

Workflow Groups

Each page in ShadoCMS is assigned to a Workflow Group that is made up of Workflow Items

Workflow Items

An infinite number of Workflow Items can be created and then combined into differing Workflow Groups.

As a Publisher when you login to ShadoCMS you just select Workflow Manager under Users And Workflow from the main navigation. This will automatically provide you with a list of containers of content that have been edited within sections that your user permissions allow you to publish. See Workflows.

By selecting the container name you will be taken to the publishing menu that allows you to do any of the following:

Publish Content

By selecting the item that needs publishing you will be presented with all the Workflow Items that relate to the container that must be signed off.

You will need to make a comment in all of the Workflow Item details boxes and then select the Approve button. The content will then be published on the publish date as determined by the content Editor.

Once all items have been approved the Publish button at the top of this screen will appear and by selecting this you will set the content live as per the publishing date set. Unless all Workflow Items have been checked off the content cannot be published.

If a Workflow Group has not been assigned against the page then there will be no specific Workflow Items that must be signed off and the Publish button will appear automatically.

Decline Content

From the Workflow Queue there are two ways in which to decline content as follows by selecting the Decline tab from the right hand frameset of Shado Central:

Mark for Re-Edit

If the content needs adjustment then you will select the Mark for Re-edit button. This will then require you to enter a message that will go back with the content to the Editor. Then Editor will then need to login to Shado and make the changes.

The reason for decline stays with the content through the workflow and once the Editor has made the changes the Publisher will be notified that the content is ready for reviewing again.

Decline & Reset

If you want the edited version removed altogether then you will need to select the Decline & Reset button. This removes the edited version from the database and sends a message back to the Editor advising that the content has been declined and removed. You will need to enter a reason for this which will be emailed back to the Editor.

Edit Content

From the Workflow Queue as a Publisher you may also wish to edit the content that has been submitted yourself. You can do this by selecting the Edit tab from the right hand frameset.

This will allow you to select the Recall button which will recall the content with it checked out to you to edit. An Editor can also use this function if they wish to Recall the content from the workflow in order to rework it.

Once the content has been recalled it needs to go back into the Workflow Queue in order to be signed off for publishing.

Compare Content

From the Workflow Queue as a Publisher you will want to be able to see the current live version of content in order to be able to compare the changes for the new version sent to the Workflow Queue. You can do this by selecting the Compare tab from the right hand frame set.

This will show the current version seeking approval on the left and the actual live content on the right.

History

This will provide an audit trail of all actions carried out on that container and by what user since the container was created.
